Consistent follow-up does not require a complicated CRM. It requires a clear next action, enough context and a reliable place where due conversations reappear.
1. Capture the lead immediately
Save the business after the call, enquiry, visit or research session. A record can begin with only a name and one note; details can be added later.

2. Record what happened, not a long transcript
A useful note should help the next person understand the status in seconds. Record the result, the customer request and any commitment made.

3. Always choose the next action
“Follow up later” is not a system. Choose a specific date or mark the record as complete, inactive or not relevant.

4. Use simple stages
Stages should describe the real commercial situation. Avoid creating so many stages that nobody updates them.

Start the day with overdue and today views. Clear quick actions, reschedule honestly and update the note after each meaningful conversation.
